5 best tips about how to create a perfect event invitation

You’re organizing an event and one of the most challenging moments of event management arrived: create an invitation. Some questions will rise: How to create an impacting invitation? How to make your attendees interested? Here are our pieces of advice:

1. Think big

Don’t just send one invitation and prey for a reply: send several one’s, in different dates and subjects. design an invitation announcing the event. Send a new one a couple of weeks before the event starts. This will be very helpful to remind attendees who have not yet replied. Plan an invitation per category of guests (VIP, Speakers, Journalists, etc). The content should be adjusted to different groups of guests.

2. Be human

Send the invitation in the name of the CEO or the department manager and make sound personal. With this, you will make the invitation more human, and not automatic. We are more incentivized to read and reply to a message from someone we know rather than a generic email expediter.

3. Be careful

Your attendee must want to read the invitation. To reach this, use more images than text and space out the content.

4. Embrace clear content

Your invitation must contain the main information about the event: What, where, when. Don’t overload the email, add a link to a dedicated event website where your guests can find all the detailed information.

5. Create an event page

As referred, it’s crucial not to overdue in your invitation: it’s meant to make attendees want to know more, and that’s when the event page comes into place. Don’t worry, you don’t need to be an expert in websites. Several companies offer solutions to easily create your event page and track your registrations in real-time. Keeping it short:
Make it authentic, short and straight to the point! Show your attendees that you are not sending a generic invitation email but an invitation that’s meant to them. This will retain their attention and make them more likely to attend.
